Who we are
ClubCRM is membership software for Australian clubs and associations. It is run by The Trustee for Broad and Co. Family Trust (ABN 89 687 217 914), part of Bantam. Questions about anything on this page go to greg@bantam.app.
What clubs keep in ClubCRM
Each club decides what it records about its members. Depending on the club, that can include names, email addresses, phone numbers, postal addresses, dates of birth, parent or guardian details for junior members, membership numbers and dates, vehicle and registration details, insurance details, emergency contacts, notes, and the answers to the club's join form questions. ClubCRM also keeps payment records (amounts, dates and status) for clubs that take payments online, whether each member agreed to club news, and which club emails were sent to them and whether they arrived. Committee members who sign in have an account with their name, email address and login details, including two-step verification if they turn it on.
We hold member information on behalf of the club, and the club controls it: club admins can view, correct, export and delete their members' records. If you are a member and want to see or correct your details, the quickest path is your club. You can also email us and we will pass your request to them.
Join forms
When you apply to join a club through its page on clubcrm.com.au, the details you enter go to that club for approval. You normally get an email saying the club has your application, and another if it is approved. The box for club news is optional and starts unticked. Clubs can also email formal notices, such as AGM notices, to members who have not unsubscribed. Every news or notice email from a club has an unsubscribe link.
Payments
If your club takes membership payments online, the payment is handled by Stripe on the club's own Stripe account. Card details go straight to Stripe. ClubCRM never sees or stores them.
Where information is stored, and who helps us run ClubCRM
Member records and club documents are stored in a database in Sydney. We use a small number of service providers to run ClubCRM:
- Supabase: the database, file storage and sign-in (Sydney region).
- Vercel: hosts the website and the app.
- Resend: delivers emails such as application receipts and notices, welcome emails and club news.
- Stripe: card payments, only for clubs that turn them on.
- Google Analytics: visit statistics for our own pages, described below.
- Slack: internal alerts to the ClubCRM team when something fails, which can include a club's name, an email subject line and internal record numbers.
Some of these providers are based outside Australia and may process information overseas, including in the United States. We do not sell personal information, and we do not use members' details to market ClubCRM.
Analytics and cookies on our own pages
Our own pages, the home page and this one, use Google Analytics to count visits and see how people find ClubCRM. Google Analytics uses cookies and records things like the pages viewed, the site that sent you, your device and browser, and your approximate location. It does not run on club pages, join forms or the signed-in admin area, and no member records are sent to Google. You can block cookies in your browser settings, or install Google's opt-out add-on. The signed-in admin area also uses cookies to keep committee members logged in.
Security
Each club sees only its own members. Committee logins can use two-step verification, and our providers encrypt information in transit and at rest.
