Terms for clubs
Last updated 21 October 2026.
These are the terms for a club that uses ClubCRM. They are written to be read, not skimmed past. If anything here is unclear, email greg@bantam.app and a person will reply.
Who we are
ClubCRM is run by The Trustee for Broad and Co. Family Trust (ABN 89 687 217 914), part of Bantam. In these terms "we" means ClubCRM, "the club" means the club or association that uses it, and "you" means the person who signs the club up and anyone the club makes an admin.
Signing a club up
You may sign a club up only if you are allowed to act for it, for example as its secretary, president or another committee member the club has asked to do it. A club page must be for a real club or association. The club's page at clubcrm.com.au goes live once you confirm your email address.
The free trial and the price
- The first 30 days from sign-up are free. No card is needed to start.
- After that, ClubCRM is AUD $35 a month per club, including GST. There is no setup fee.
- When the free 30 days end, we email the club's admins a tax invoice for the month ahead, and then one each month until the club cancels. Invoices are paid by bank transfer within 14 days of the invoice date; the bank details are on the invoice. No card details are needed.
- During the free 30 days, a club that signed itself up sends application receipts and welcome emails, up to 20 of each a day. Emailing its members (AGM notices, news and general emails) starts once its first invoice is paid.
- If an invoice is still unpaid 14 days after it is due, we may pause the club until it is paid. While a club is paused its join page takes no applications and its admins cannot use the admin area. Nothing is deleted, and we will send the club a copy of its records on request.
- We will email the club's admins at least 30 days before any change to the price.
Cancelling
The club can cancel at any time by emailing greg@bantam.app. There is no contract and no cancellation fee. After cancelling, the club is not charged again, its join page stops taking applications, and its records can still be exported. We keep the club's records until the club asks us to delete them, and we delete them when it asks.
The club's data
The club owns and controls its members' information. ClubCRM stores and processes it for the club, to run the club's member list, join page and emails, and for no other purpose. We do not sell it and we do not use it to market ClubCRM. The club can export its records at any time. How we look after information, and who helps us run ClubCRM, is on the privacy page.
The club is responsible for what it records about its members and for meeting its own privacy obligations to them, such as telling members what the club keeps and why.
Using ClubCRM properly
- Keep your login to yourself. We strongly recommend two-step verification.
- Use the club's emails for the club's members and applicants only, not for advertising to people who have not joined.
- Do not use ClubCRM for anything unlawful, to pretend to be a club you do not act for, or to collect people's details under false pretences.
We can pause (suspend) a club page that is not for a real club, or a club that breaks these terms. We will email the club's admins to say why, and a paused club's records are kept, not deleted.
What we look after
We work to keep ClubCRM running, secure and backed up, and we fix problems as quickly as we can. Like any online service it can have interruptions. Nothing in these terms takes away rights the club has under the Australian Consumer Law.
Changes to these terms
If we change these terms in a way that matters to clubs, we will email the club's admins before the change takes effect. The date at the top of this page shows when they last changed.
